  • Demonstration 1 – Basic Module – 15 minutes
  • Demonstration 2 – Gantt Module – 30 minutes

Goals for the Training:

  • Introduce the Basic Module and become familiar with the functions
  • Introduce the Gantt Module and become familiar with the functions
  • Begin to think about project structure for templates:  Naming, Basic Structure, Common Modifications
  • Begin to think about report design and what reports would be most useful

 

Demonstration 1 – Basic Module

  • In CRM click on Projects and Resources in the left side bar (red arrow below).

The Basic Module functionality is highlighted in yellow.

Resources:

Click next to Resources in the left bar – it should be highlighted (light blue)

Fill out the fields:

  • First Name: John
  • Last Name: ACME
  • Click Save in the upper left corner

Choose a Working Time Model:

Click Add New Working Time Model(red arrow)

Fill in the following fields:

  • Valid From:  01/01/2013 (could be anything)
  • Calculation:  Weekly
  • Hours: 40
  • Click Save & Close

Add an Internal Cost Rate:

Fill these fields in:

  • Valid From: 01/01/2013
  • Cost Rate: $100.00 – You may need to create a Currency prior.
  • If you want to create a Currency click on the search icon next to the Currency field.
  • Click Save and Close

Create an Account (Customer) in CRM

Fill in the fields

  • Account Name:  ACME Industries
  • Scroll down to Billing Information: Select US Currency
  • Click Save and Close

 

Demonstration 2 – Gantt Module

  • Click on the Gantt in the left side bar.
  • Type in ACME Industries in the Select Customer field.
  • Type TAB key.
  • Click on the Refresh Icon

  • Click the Create Project Icon on the left (red arrow below )

  • End Date:  02/23/13 (projects end at 12:00 am the day after work is complete)

Highlight the Project: click in the space next to the project Pipe Fitting Project.

Click on the Icon for creating a Sub Project.

Click the Create Sub Project Icon on the left like you are creating a Project Phase

Can use the Up and Down Arrow Buttons on the left to move the milestone and other projects, but this is meant for viewing  and will revert to the date order structure after refresh.

Modifications – click on the text on any project to see the project details (below)

Click in any field to modify the project then Save at the top left

                Warning – You may not make modifications to Project Phases and Work Packages that are outside the parameters of the Parent Project

Predecessors

Code choices for types of relationships between projects

  • Code: FS – Finish to Start (normal relationship)
  • Code: SS – Start to Start (start date of the successor depends on the start date of the previous)
  • Code: SF – Start to Finish (end of the successor project depends on the start of the previous)
  • Code: FF – Finish to Finish (both end dates depend on each other)
  • Code Structure:  # Line Number, FS, +, number of days
  • Code Structure for Multiple Connections:  Use a comma between line numbers

Predecessor Types

  • Code choices for predecessor types
  • Code:  F – stands for a fixed relationship that cannot move
  • Code:  F+1 – stands for fixed relationship with 1 day buffer before the start date of the next project
  • Code:  O – stands for a normal relationship that is flexible
